On the Inventory Dashboard you will see your inventory at-a-glance. The top of this screen has four components:

  •  Value of Units on Hand

    • This dollar amount uses the average cost per unit and multiplies it by the number of units you have on hand

  • # Of Unpaid Purchase Orders

    • Total number of purchase orders with a current status of “Unpaid”

  • Unpaid Purchase Order Value

    • Total $ amount of purchase orders with a current status of “Unpaid”

  • Open Purchase Order Value

    • Total $ amount of purchase orders with a current status of “Open” (This means they have been approved to purchase but have not been received)

 

Items


All the items listed in your inventory will be shown here in a table view. Here you can see the number of units on hand, product association, and average item costs. 


From your Inventory Dashboard, you may search items or download them into a spreadsheet by clicking the Export CSV button. For in-depth access to your items, choose Items from the left panel and click one of the following options in the dropdown menu: Overview or Item Quantity.

 



Purchase Orders


Your purchase orders will also be visible from the Inventory Dashboard. You may type any information in the search bar to find the purchase order you’re looking for. There are also 3 filters to help narrow your search:

  • Filter Sent: allows you to see which purchase orders have been drafted, sent to the vendor, or opened by the vendor.

  • Filter PO Status: shows if the purchase order has been approved by the vendor, partially received, fully received by you, or returned to the vendor.

  • Filter Paid Status

    • Open: No invoice has been entered in the system yet 

    • Ready for Payment: Approved by vendor, received by you, and invoice was entered into the system

    • Paid: The purchase order has been paid

    • Unmatched: The invoice does not match the purchase order.


You can check the box next to the PO of your choice and send it directly to the vendor by clicking the “Send by Email” button at the top of the PO table. Similarly,  you may check the box next to the PO and either “Print” (creates a PDF) or “Delete”. See the details on the PO itself, by clicking the PO #. 


  • You may also change the following 3 statuses by clicking on them and choosing from the dropdown menu:

    •  Sent Status

    •  PO Status

    • Paid Status


  • On the far right in the “Action” column, you may choose to:

    • Send by email

    • View PDF

    • Print
